QuickBooks Desktop H202 and H505: fix the multi-user error, host the file, or move to QuickBooks Online?

The short answer: H202 means a workstation cannot reach the computer that hosts the company file; H505, H101 and H303 mean a workstation is wrongly set to host it. Neither is file damage. The fix is on the server, not in the file, and Intuit’s own procedure (help article updated 10 August 2026) runs to four solutions in a set order. If you are fixing the same error every few weeks, though, the error is a symptom of a Desktop file being shared over a network that was never designed for it, and the real decision is between repairing the network, moving the file to a hosted desktop, or moving the ledger to QuickBooks Online. This post gives the fix first, then the decision.

Two constraints Intuit states in the same article change the diagnosis before you start. The QuickBooks Database Server Manager does not support network-attached storage (NAS): a company file on a NAS box will throw H202 no matter how the firewall is set. And there are two legitimate server setups, the Full Program option (QuickBooks Desktop plus Database Server Manager on the server) and the Server Only option (Database Server Manager alone), each with its own steps. Know which one you have.

Fix H202: Intuit’s order

  1. Run Database Server Manager from the Tool Hub on the server. Close QuickBooks, install the current QuickBooks Tool Hub (1.6.0.8; Intuit recommends Windows 11 64-bit), open Network Issues, choose QuickBooks Database Server Manager, browse to the company-file folder and Start Scan. The scan rewrites the network data (.ND) file and repairs firewall permissions automatically. Then run File Doctor from Company File Issues with the “Check your Network” option.
  2. Check the two services on the server. In services.msc, find QuickBooksDBXX, where XX is your QuickBooks year plus 10 (QuickBooks 2023 is QuickBooksDB33), and QBCFMonitorService. Set both to Automatic, make sure they are running, and on the Recovery tab set all three failure actions to Restart the Service. If you use the Full Program option, first confirm File > Utilities on the server shows Stop Hosting Multi-User Access (meaning hosting is on).
  3. Give the services admin rights and open the firewall. Add QuickBooksDBXX and QBCFMonitorService to the Windows admin group on the server and set the firewall exceptions from Intuit’s firewall article. A version mismatch is a classic cause here: the Database Server Manager on the server must match the QuickBooks year the workstations run.
  4. Ping the server from each failing workstation. Turn on network discovery, get the server host name from ipconfig /all, and ping it from every workstation showing H202. Packet loss or a slow reply means the fault is the network, and Intuit’s advice at that point is an IT professional, not more QuickBooks steps.

Test after each step with File > Switch to Multi-user Mode on a workstation, and stop when it works.

Fix H505, H101 and H303: turn hosting off on the workstations

On each workstation, open QuickBooks without the company file, go to File > Utilities and select Stop Hosting Multi-User Access if it is offered; if you see Host Multi-User Access instead, that machine is fine. Then confirm the server shows the opposite. Only the server hosts; that is the entire fix for those three codes.

When the fix stops being the answer

H202 recurs for the same reasons: a “server” that is really someone’s workstation, a Windows update that resets the firewall, a year upgrade applied to workstations before the server, or a file that has drifted onto a NAS or a cloud-sync folder. If the checklist has run more than twice this year, price the three options.

A regional note: Intuit sells and supports Desktop in the US and Canada; elsewhere most Desktop files are legacy installs in markets where only QuickBooks Online is sold. For a UK, Australian or Gulf business the migration column carries an extra argument: VAT and MTD, GST and BAS, or FTA and ZATCA reporting in a current product rather than a workaround on an old one.

Before you migrate off a networked file

Take every workstation out of multi-user mode and export single-user from the server; run Verify and Rebuild first, because repeated forced disconnects often leave damage that shows as -6000 series codes; reconcile every bank account to the cutover date so the opening balances are proven; and list the Desktop-only features in use so each has a home in Online before the cutover, not after.

Frequently asked questions

Is H202 a sign the company file is corrupted?

No. Intuit describes H202 as a blocked connection between a workstation and the server. Corruption shows up as -6000 series codes, Verify and Rebuild findings, or data that will not open at all.

Can I host a QuickBooks Desktop file on a NAS or in Dropbox?

Intuit states that the Database Server Manager does not support NAS devices, and consumer sync folders are not a supported multi-user host either. Use a Windows server or PC that stays on, or an authorised hosting provider.

Why does H202 come back after a QuickBooks upgrade?

Usually because the workstations moved to the new year and the server’s Database Server Manager did not. The service name changes with the year (QuickBooksDB33 for 2023, and so on), so install the matching Database Server Manager on the server and rescan.

Does moving to QuickBooks Online remove multi-user errors entirely?

Yes: there is no server and no hosting mode. The trade-off is that a few Desktop-only features must be rebuilt or replaced, which a scoped conversion plans for.
